Key Responsibilities
Client Experience Management
- Serve as the first point of contact for clients, providing exceptional service and professional communication
- Coordinate client meetings and maintain executive calendars using Microsoft Outlook
- Handle client inquiries and requests with accuracy and timeliness
- Support client account management and billing inquiries
- Facilitate smooth client onboarding experiences
Operational Excellence
- Oversee daily office operations including supply management and facility coordination
- Execute administrative functions such as document preparation, filing, and correspondence
- Support the billing department with invoice preparation and payment processing
- Contribute to monthly accounts receivable activities and collection processes
- Maintain organized filing systems and ensure proper documentation protocols
Administrative Support
- Provide comprehensive administrative support to firm partners and senior staff
- Assist with preparation of client engagement materials and proposals
- Support tax season operations including document processing and client communications
- Coordinate firm events and professional development activities
- Utilize CCH Axcess billing system for daily transaction processing
Ideal Candidate Profile
Professional Background
- 2-8 years of administrative or client service experience, preferably in professional services
- Strong proficiency in Microsoft Office applications (Outlook, Word, Excel)
- Experience with client relationship management and billing systems preferred
- Background in accounting or finance environments is a plus
