Position Overview
We are seeking a dedicated Wealth Management Assistant / Paraplanner to join our dynamic team. This role is perfect for a detail-oriented professional who thrives in a fast-paced environment and is passionate about helping clients achieve their financial goals.
The successful candidate will serve as a vital link between our wealth management advisors and clients, providing essential support that ensures seamless service delivery. This position offers significant exposure to all aspects of wealth management operations, from client relationship management to investment analysis and financial planning support.
Essential Responsibilities
Client Operations & Relationship Management
Meeting Coordination & Support:
- Coordinate and schedule client review meetings, appointments, and follow-up sessions
- Conduct comprehensive pre-meeting preparation including agenda creation, document compilation, and account analysis
- Execute thorough post-meeting follow-up including action item tracking, document distribution, and client communication
- Prepare meeting materials, presentations, and supporting documentation for advisor-client interactions
Account Administration:
- Collaborate with clients and advisors to complete custodian-specific and proprietary firm paperwork required for account opening and maintenance
- Process account transfers, rollovers, and other custodial transactions
- Handle complex client service inquiries with professionalism and efficiency
- Maintain accurate client records and ensure compliance with all regulatory requirements
Client Communication:
- Serve as primary point of contact for routine client inquiries and requests
- Provide timely, accurate responses to client questions regarding accounts, statements, and general service matters
- Demonstrate exceptional customer service skills while maintaining confidentiality and professionalism
- Build and maintain positive relationships with clients through consistent, reliable communication
Technology & Systems Management
Software Proficiency:
- Master various technology platforms used for both client-facing and back-office operations
- Continuously learn and adapt to new software implementations and system upgrades
- Troubleshoot basic technical issues and coordinate with IT support when necessary
- Maintain proficiency in CRM database management and reporting functions
Database Management:
- Ensure accurate maintenance and regular updates of practice CRM database
- Input client data, meeting notes, and follow-up activities in a timely manner
- Generate custom reports for advisors and management as needed
- Maintain data integrity and comply with data security protocols
Administrative Support & Operations
Daily Office Operations:
- Answer incoming phone calls with professional telephone etiquette
- Manage email correspondence and other written communications
- Prioritize and route client inquiries to appropriate team members
- Provide general administrative support to wealth management team
Document Generation & Reporting:
- Create Letters of Instruction for various investment and account changes
- Process illustration requests for insurance and investment products
- Develop plan designs and financial planning deliverables
- Generate follow-up action item plans and track completion status
- Prepare client reports, statements summaries, and performance reviews
Required Qualifications
Licensing & Education
- Active Financial Licenses Required: Series 7, 66, or combination of Series 63 & 65
- Insurance Licenses: New Jersey Life and Health insurance licenses in good standing
- Education: Bachelor's degree in Finance, Accounting, Financial Planning, Economics, or related field
- Professional Development: Currently enrolled in or completed Financial Planning Educational Program leading to professional certification (CFP®, ChFC®, etc.)
Professional Experience
- Industry Experience: 3-5 years of progressive experience in the financial planning and wealth management field
- Accounting Background: Previous bookkeeping or accounting experience preferred
- Client Service: Demonstrated experience in client-facing roles with emphasis on relationship management
Technical Skills
- CRM Proficiency: Advanced experience with Customer Relationship Management tools and database management
- Microsoft Office Suite: Expert-level proficiency in MS Word, Excel, and Outlook
- Financial Software: Familiarity with financial planning software, portfolio management systems, and custodial platforms preferred
