A well-established Fee-Only Wealth Management and CPA Firm is seeking a dedicated administrative professional to join their dynamic team as an Administrative and Operations Associate. This multifaceted role serves as a critical support function within a growing financial services organization, offering the opportunity to work closely with seasoned Certified Public Accountants and Wealth Advisory professionals while playing an integral part in helping high-net-worth clients achieve their comprehensive financial objectives.
Job Requirements
- Bachelor's degree in Business Administration, Finance, Accounting, or related field required
- Minimum of 2 years of relevant experience in financial services, wealth management, or professional services environment
- Exceptionally organized with meticulous attention to detail and superior time management capabilities to handle multiple priorities simultaneously
- Self-motivated and proactive individual with demonstrated ability to prioritize competing demands and work independently with minimal supervision
- Outstanding written and verbal communication skills with ability to interact professionally with high-net-worth clientele
- Genuine enthusiasm for working within a collaborative, detail-oriented team environment alongside experienced wealth advisors and CPAs who maintain an unwavering focus on client success and satisfaction
- Proficiency or willingness to learn sophisticated financial software platforms including portfolio management systems, comprehensive CRM databases, advanced tax preparation software, secure client portals, and automated rebalancing and reporting tools
- Exceptional client-facing skills with polished professional appearance, demeanor, and ability to maintain confidentiality in all client interactions
- Strong problem-solving abilities and adaptability to evolving client needs and firm processes
Job Description
- Provide comprehensive administrative and operational support to partners and wealth advisory team members in all aspects of client meeting preparation, including detailed scheduling coordination, proactive client communications, preparation of customized financial reports, and assembly of meeting materials
- Lead and manage complete client onboarding processes from initial contact through account establishment, including coordination of account opening documentation, funding transfers, compliance requirements, and ongoing collaboration with advisory team to ensure seamless and exceptional client experience throughout the transition
- Serve as primary point of contact for ongoing client support by promptly addressing daily client inquiries, service requests, account maintenance needs, and coordinating resolution of any issues that may arise
- Assist with preparation and distribution of quarterly client reports, performance summaries, and other regular client communications
- Support tax preparation activities during busy season by organizing client documents, coordinating with CPA team, and maintaining communication with clients regarding tax-related matters
- Maintain accurate client files and ensure all documentation meets compliance standards and firm protocols
- Participate in firm operations improvement initiatives and contribute to process enhancement efforts

Salary and Benefits
