PA/Ops manager





Overview

We are partnering with a boutique, founder-led luxury events firm known for delivering bespoke, high-touch experiences for UHNW private clients, luxury brands, and high-profile corporate partners.

They are seeking an Operations Manager / Executive PA to act as the trusted right hand to leadership. This is a highly visible, high-trust role that blends event operations, internal business management, and senior-level executive support. You will be central to the success of both day-to-day operations and flawless event execution.

This role is ideal for someone who thrives in fast-paced environments, anticipates needs before they arise, and takes pride in precision, discretion, and execution at the highest level.







Key Responsibilities



Operations & Leadership Support

  • Serve as a primary operational partner to the Founder and Executive Team

  • Manage day-to-day business operations, workflows, and priorities

  • Build, maintain, and refine internal processes to support growth

  • Oversee vendor relationships, contracts, timelines, and deliverables

  • Act as a key internal point of contact across projects and stakeholders



Event Operations

  • Lead logistical planning and execution for high-end, detail-driven events

  • Coordinate venues, vendors, production teams, and on-site staff

  • Develop and manage run-of-show documents, timelines, and operational plans

  • Be present on event days to manage execution and resolve issues in real time

  • Ensure all events are delivered seamlessly and to brand standard



Executive / PA Support

  • Manage executive calendars, scheduling, and complex travel arrangements

  • Act as a gatekeeper and liaison for internal and external stakeholders

  • Anticipate needs and proactively handle issues before escalation

  • Handle sensitive and confidential information with discretion and professionalism



Administrative & Financial Support

  • Support budgeting, invoicing, expense tracking, and vendor payments

  • Maintain contracts, client records, and operational documentation

  • Assist with reporting, project tracking, and internal communications







Ideal Candidate Profile

  • 5+ years' experience in operations, events management, executive support, or a hybrid role

  • Background in luxury events, hospitality, lifestyle management, or premium service environments strongly preferred

  • Exceptionally organized with strong attention to detail

  • Calm, resourceful, and decisive under pressure

  • Polished communicator with a strong client-facing presence

  • Highly discreet, trustworthy, and dependable

  • Comfortable working flexible hours as required by event schedules
